Priority Status

Priority Status

Understanding Plotwise's predictive priority status system for permit activity.

Priority Status is Plotwise's intelligent prediction system that analyzes permit activity patterns to help you focus on permits most likely to need attention soon.

What is Priority Status?

Priority Status predicts permit activity based on:

  • Historical update patterns
  • Time since last activity
  • Permit type and jurisdiction
  • Status transition patterns

This helps you prioritize which permits to check proactively.

Priority Status Values

Active Predictions

Wait

Color: Gray Meaning: Recent activity, expect quiet period

The permit had recent activity and typically won't update for a while based on patterns.

Action: No immediate action needed. Monitor normally.

Approaching

Color: Yellow Meaning: Activity window opening

Based on patterns, the permit is entering a timeframe where updates commonly occur.

Action: Start paying closer attention. Prepare for potential action needed.

Expect Update

Color: Orange Meaning: Update likely soon

Historical patterns suggest this permit should receive an update in the near term.

Action: Watch closely. Consider proactive contact with jurisdiction.

Overdue Indicators

Overdue - Hot

Color: Red Meaning: Update significantly overdue

Permit has exceeded expected update timeframe by a notable margin.

Action: Urgent attention. Contact jurisdiction to check status.

Overdue - Warm

Color: Orange-Red Meaning: Update moderately overdue

Permit is past expected update window but not critically so.

Action: Follow up with jurisdiction. May be normal delay.

Overdue - Cold

Color: Light Red Meaning: Update mildly overdue

Just past expected window. May not be concerning yet.

Action: Monitor. Escalate if continues.

Other Statuses

Checked

Color: Green Meaning: Recently verified

You or the system recently confirmed the permit status.

Action: No action needed until next check cycle.

Stale

Color: Gray Meaning: Extended inactivity

Permit has had no updates for an extended period, beyond normal patterns.

Action: May warrant investigation or archiving if truly inactive.

Dead

Color: Dark Gray Meaning: Likely abandoned/completed

Very long period of inactivity suggesting permit is no longer active.

Action: Consider removing from watchlist if confirmed inactive.

How Priority Status Works

Data Analysis

The system analyzes:

  1. Jurisdiction patterns: How fast does this jurisdiction typically process?
  2. Permit type patterns: What's normal for this type of permit?
  3. Historical data: How have similar permits progressed?
  4. Current status: What typically happens after this status?

Prediction Model

Factors considered:

  • Days since last update
  • Expected days between updates
  • Standard deviation for similar permits
  • Current permit status

Accuracy Notes

Priority Status is predictive, not deterministic:

  • Based on historical patterns
  • Individual permits may vary
  • Jurisdictions may change practices
  • External factors (backlogs, holidays) affect timing

Using Priority Status

Daily Workflow

  1. Start with Red/Orange: Address overdue permits first
  2. Review Yellow: Prepare for upcoming activity
  3. Spot-check Gray: Verify inactive permits periodically

Setting Up Views

Filter by Priority Status:

  1. Open Watchlist filters
  2. Select Priority Status filter
  3. Choose status values to view
  4. Save as custom view

Combining with Permit Status

Most effective when combined:

  • Priority Status: When to pay attention
  • Permit Status: What action is needed

Example: "Overdue Hot" + "Corrections Required" = Urgent action needed

Customizing Predictions

Organization Settings

Some prediction parameters can be adjusted:

  • Sensitivity (how quickly something becomes "overdue")
  • Jurisdiction-specific adjustments
  • Permit type considerations

Manual Overrides

Mark permits as "Checked" to reset predictions:

  1. Open permit details
  2. Click "Mark as Checked"
  3. Resets prediction timer

Best Practices

Trust but Verify

  • Priority Status guides attention
  • Always confirm critical permits directly
  • Report consistently wrong predictions

Batch Processing

Use Priority Status for efficient workflows:

  • Process all "Hot" permits together
  • Schedule weekly "Warm" reviews
  • Monthly review of "Stale" permits

Clean Up Dead Permits

Regularly review "Dead" status:

  • Confirm if truly inactive
  • Remove from watchlist to free slots
  • Archive if needed for records
